Question
How to enforce timeboxing?
Answer
We all know the concept of timeboxing. It helps us maintain time and value during meetings by allocating a maximum amount of time to a single meeting. But then again, maintaining the timebox or making sure you anticipate the ending of the timebox well can be a challenge.
Some tips and tricks:
It all starts with radical transparancy. Make sure you share the goals of the meeting from the very start of the session. Right after the goal-setting, you share the set timebox (per agenda item). Use a timer to ensure each agenda item receives its allocated time. It also helps to display the countdown somewhere in the (virtual) meeting room.
Make sure you include some spillover time for unforeseen items, discussions or events. If any unexpected events occur that result in time constraints, never go over a timebox, simply table unfinished items and schedule them for a later meeting.
Don’t forget to book enough time for breaks and slack time.
